Time management means setting a schedule of your daily and weekly activities that meets the goals you’ve set for yourself. It’s all about efficiency. And while it’s possible to do this on your own, you might be missing out on some ideas that will help you get more done in less time.

You have a thousand things to do, and people are always asking you for your help. So you look at your calendar, scroll through your emails, check your social media feed, and try to schedule it all in. How can you fit all this into a single day?

I read somewhere that Americans spend an average of 48.4 hours per week working, 27.5 hours doing household chores, and only 11.5 hours in personal leisure. Not to mention the fact that we’re always running to one place or the other.

This leads to so many of us feeling like we’re never able to spend any time doing anything fun. We always feel like we’re coming up short, and it leads to us feeling like we’re never really living our lives.

We need to constantly update our to-do lists, schedule time in our schedules, and put some focus on the things that really matter to us. But how do you start out with that? How can you figure out the best way to organize your time and manage your schedule so that you feel like you can enjoy your life a little more?

You can’t just jump into this all at once. It takes time to learn and figure things out. So here are the five most helpful tips I’ve learned from reading, researching, and writing a lot on the topic and my own personal experience.

Develop a good daily routine that includes some time for personal growth

My routine starts out pretty basic: I wake up in the morning and do some relaxation/meditation and breathing exercised. After that, I get dressed, and then I do some work from home in my home office.
That’s my morning routine. My afternoon routine is similar, except I leave the house and do something different for an hour or so. In the evenings, I sit down and look at my to-do list. And I do the same thing: I make my goals for the next day, and I prioritize all my tasks so I can make the most of my time.

It’s important to have a daily routine, so you know what to expect. When you don’t have a routine, you’ll just spend your time drifting through your days, waiting for something to grab your attention. This can lead to a lot of stress, and it can prevent you from having a fulfilling and fulfilling life.

On the other hand, when you have a regular routine, it’s so easy to get work done. You’ll set your alarm a few minutes earlier in the morning, so you can get your exercise in. You’ll spend your evening getting things done at home, and planning for the next day.
That way, when you wake up in the morning, you have some work waiting for you.

Write down your goals so you can break them down into small pieces

There are so many things we can do today that we’ve been thinking about for a long time. We want to take a trip to Italy, and we have so much desire to see it for ourselves. But we’re also afraid that it’s going to be expensive and difficult to do.

If we put that desire to see Italy in writing, it suddenly gets much easier to commit. We have a clear picture of what we want to do, and we can start putting all of our efforts into reaching our goal.

It’s always a lot easier to reach a goal when you’ve already put it down on paper. It gives you a real image of what it’s going to be like to actually achieve your goal.

You can do the same thing for your other goals. Write them down. Look at them from the beginning to the end. Look at the small steps it will take you to get there.

And then commit to doing those steps each day. I know it sounds obvious, but you’d be surprised how many people think they have to wait until they’re entirely ready. But you only have one life, and you can’t get more prepared. So if you start now, you’ll be a lot better off in the long run.

Use the Pomodoro Technique to keep yourself on track

The Pomodoro Technique is an excellent way to focus your efforts on a certain task. The goal is to work for 25 minutes straight, and then take a 5-minute break.

You might think this sounds easy, and that it’s going to be a piece of cake to achieve. But it’s a very challenging task to keep your brain focused for 25 minutes straight. Because 25 minutes can seem like an eternity when you’re busy.

But as a study published in the Journal of Economic Perspectives showed, it’s possible to get more done in the 25 minutes if you use the Pomodoro technique.
This is a great way to build some momentum in your work. You get a good base of work done, and then you’re able to take a quick break. But then you come back and keep going. And it’s amazing how quickly you can start to feel like you’ve got a good rhythm going.

But it’s also a very time-efficient way to accomplish work. Once you learn how to use the Pomodoro Technique, you’ll be able to complete tasks in just 25 minutes or less.
Most people will focus on getting things done in the first part of the day. But they might forget to take a break. But what about the second half of the day? How can you take care of those smaller tasks, but still keep yourself focused?

The second part of the Pomodoro Technique is not working for 25 minutes straight but to use the Pomodoro Technique for 15 minutes straight. But then you take a 5-minute break, and you spend those 5 minutes completely focused on one task, and then you take another 15 minutes to complete that task.

When you do this, you’ll complete the task faster, and you’ll complete more tasks per day.

Make your list of goals for the next day

The time limit of the Pomodoro Technique is a great motivator to work. The more you get done, the faster you’ll be able to complete other tasks.
But you can use that same strategy to work on your goals for the next day. You just need a list of your goals to take care of. Once you have your list, you can start breaking your goal down into small steps.

If you want to write a book, you might break down that goal into writing a certain number of words per day. Or you can break down a goal like visiting Italy into little steps that you can actually accomplish in just a few weeks.

You don’t have to set a goal to do that. You could just write down a list of the tasks you need to accomplish for the next few weeks. And then make a rule that if you haven’t accomplished those tasks by the end of the day, you’re not going to get to sleep that night. You’ll just keep working until you’re able to complete those tasks.
And once you know what you need to do each day, you’re going to find that it’s a lot easier to motivate yourself.

Use the 20-20-20 rule

If you want to break a big project into small steps, you can use the 20-20-20 rule to keep yourself on track.
This is a time-management technique to break big projects into small, achievable tasks.
Just take a look at your list of work tasks. You might see a task listed that looks overwhelming. But instead of giving yourself a hard time, consider using the 20-20-20 rule. What if you got to work on that task right away?

What if you worked on it for 20 minutes and then took a 5-minute break? When you return to work, you could finish that task and be done. That would take you to the next task.
And then you could do another task. And another. And eventually, you would be finished.

So when you break a big project into smaller tasks, it helps to force yourself to complete that task quickly. You’ll start to feel more like you’re achieving results, and you won’t have to stress about how you’re going to get them all done.

Block off time on your calendar for your daily work

One big thing to do if you want to get more work done is to block off some time in your calendar every day for your daily work. This doesn’t have to mean every single day of the week. Maybe you work best on the weekends. Or perhaps you like to set aside a chunk of the morning for yourself.

But make sure you schedule some dedicated time each day for your daily work. It will keep you more productive, and you’ll have more time for the things you enjoy.

Create a to-do list for each day of the week that allows you to do the most important things first.

If you don’t have time to plan your week, make a to-do list and just get it done first thing every morning. You can add items to your list throughout the week, or use it as a guide for the day.
